Volunteer Privacy Policy
It is the policy of GCN to use volunteer information in a responsible and respectful manner.

Purpose Volunteers are vital to achieving our mission. We strive to provide the highest level of service, experience and value to our volunteers. Friendly, professional and respectful treatment of our volunteers is everyone's responsibility. The travel experience ought to be safe, meaningful and enjoyable.

Definition: Volunteer Information Volunteer information is considered Confidential GCN Information. Remember that you are probably also a GCN volunteer, so always treat and respect volunteer information as if it were your own. We define volunteer information as any one of the following, although this list is not intended to be all inclusive:

1. Volunteer Name
   
2. Volunteer Address
   
3. Volunteer Phone Number
   
4. Volunteer Email Address
   
5. Volunteer Credit Card Number
   
6. Volunteer Passport Number
   
7. Volunteer Social Security Number
   
8. Demographics or transactions when associated with an individual volunteer's data
   
9. Emergency Contact Information
   

Health and Medical Insurance Information Guidelines:

Data Collection Purpose GCN currently uses information obtained from our volunteers when they go on our trips to:

1. Organize and execute the trip efficiently and safely.
   
2. Keep in touch with our volunteers through the newsletter and to notify them of future trip/project opportunities. (Note: Volunteers do have the choice to opt-out of receiving GCN communications)
   
3. Fundraising and Outreach purposes
   

Proper Data Storage All volunteer information given to GCN for business purposes must be secured from outside viewing or interference. To achieve this, GCN applies these guidelines for access and storage of volunteer information:

Access is limited to only those GCN staff and contractors who have a job-related use for the information and who have read and agreed to abide by GCN’s policies relating to the access, security and use of Confidential Information.

1. All electronic volunteer information will be stored on a secured server/site.
   
2. All hard copy materials are stored in secured areas.
   

Proper Data Handling Among other things, respecting our volunteers' information means being conscientious about how we handle it internally. Following are examples, although this list is not intended to be inclusive:

1. Do not print volunteer information to printers unless specifically authorized to do so. If you are authorized to do so, retrieve your print out promptly, to prevent unauthorized access to the information.
   
2. Do not fax volunteer information unless specifically authorized to do so. If you are authorized to do so, do not leave the fax machine until the transmission is complete, and confirm receipt of the fax with the receiving party, to prevent unauthorized access to the information.
   
3. Do not save or copy volunteer information onto floppy disks.
   When it is necessary to send volunteer information to a third party, use a secure transmission method.
4. Do not transmit volunteer information via standard email (this includes email attachments). Do not transmit volunteer information via FTP, unless secure encryption methods are employed.
   
5. Do not disclose volunteer information unless authorized to do so.
   
6. Do not utilize any volunteer information outside of specific job functions.
   If you have any questions or concerns while dealing with volunteer information, seek assistance from the Board for advice before proceeding.
   

Consequences Any misuse of volunteer information may result in disciplinary action up to, and including, termination and criminal charges.

Other Points The GCN website may contain links to other sites on the Internet that we do not control. GCN is not responsible for the privacy practices or the content of such Web sites.

We do not sell or rent any personal identifiable information about our volunteers with anyone outside of GCN.
